vAutoParts ("we", "us", or "our") operates the vAutoParts mobile application and web platform. This page informs you of our policies regarding the collection, use, and disclosure of personal data when you use our Service.

- Account Information: Name, email address, role, and dealer association when you register or are added as a user.
- Authentication Data: Encrypted password hash, two-factor verification codes, and session tokens.
- Parts Data: Part requests, supplier quotes, order details, and status updates you create or manage.
- Invoice Images: Photos of supplier invoices captured via your device camera or selected from your photo gallery for OCR processing.
- Device Information: App version, platform, and device model for crash reporting and diagnostics.
2. How We Use Your Information
- To provide and maintain the parts management service
- To authenticate your identity and manage your account
- To process invoice images using AI-powered OCR (optical character recognition)
- To send verification codes and important service notifications
- To improve the application and fix bugs
3. Camera Usage
The app requests camera permission solely to allow you to photograph supplier invoices for processing. Camera images are uploaded to our server for OCR analysis and are not shared with third parties. You can also select images from your device gallery instead of using the camera.
4. Data Storage and Security
Your data is stored on secured servers. All data in transit is encrypted using TLS/HTTPS. Passwords are hashed using bcrypt. We implement role-based access control to ensure users only see data relevant to their dealership and role.
5. Data Sharing
We do not sell, trade, or share your personal data with third parties, except:
- Within your dealership organisation as required for parts workflow management
- With vAutoStock (our companion product) for bidirectional parts status synchronisation, if configured by your dealer administrator
- When required by law or to protect our rights
6. Data Retention
We retain your data for as long as your account is active or as needed to provide the service. You may request deletion of your account and associated data at any time.
7. Your Rights
You have the right to:
- Access the personal data we hold about you
- Request correction of inaccurate data
- Request deletion of your account and data
- Withdraw consent for data processing
8. Account Deletion
You can request account deletion by visiting our account deletion page or by emailing support@vautostock.co.uk. Deletion requests are processed within 7 business days.
